Graduation book data entry,

Occasionally we receive emails asking why it can take a couple of weeks before a donated book is entered into our database.
I think if you had a better understanding of the process each book goes through you will see why it can take so long. The average book can take up to 30 minutes to process; here are the steps each book goes through.
1.Create platoon section in the database
2.In each platoon section, we also create a training page. This allows us to first scan the DI, and recruit pages. Then scan and add the training pages later before the book is shipped to its new owner.
3.Create a platoon notes section: this is where the on-hand book notification is placed
4.Scan the DI, and recruit pages for data entry.
5.Enter pages into the database.
The above procedure is straightforward; now let us look at what it takes to enter a SERIES book. Keeping in mind the average series books contains up to four platoons.
Presently we are working with 350 donated books that for the most part are all series books; very few are single platoon books. Each of these books requires the following steps:
1.Create a series section
2.Create a Series notes section, again this is where we place the on-hand book notification.
3.Create a training page for use later.
4.Create each of the three, to four platoon’s numbers from the series.
5.Scan the series command page; scan each platoon section, which can have up to three, if not four pages for each platoon.
6.Perform the data entry on the series, and each of its platoon’s.
Normally each series book takes more time than a single platoon book. In the case of the 350 books we are presently working on the person who donated these books has taken it upon themselves to do the pre-scanning of the command pages, and the platoon pages, which are sent to us via a flash drive. This step makes this whole process go much faster in the end.

As you can see, this whole process of getting these books into our database is not as simple as most would think…..so there you have it.
